1. Membership & Access
- Membership is personal and non-transferable.
- Access is limited to the agreed hours/days under your membership plan.
- Building access cards, keys, or codes must not be shared with non-members.
2. Use of Space
- Hot desks are available on a first-come, first-served basis.
- Hot desk users must vacate their desk at the end of the booking period/day.
- Personal belongings should not be left unattended or stored overnight.
- The Department Store Studios is for business and professional use only (no loud calls, disruptive activities, or inappropriate behaviour).
- Kitchen and communal areas must be kept clean after use.
- Food from other establishments is only permitted in the designated Members Lounge area of Bellefields café.
3. Meeting Rooms & Facilities
- Meeting rooms must be booked in advance.
- Cancellations should follow the set notice period (e.g., 24 hours).
- Tea and coffee can be provided upon request and must be added to the booking in advance.
4. Internet & Technology
- Members must use the internet responsibly (no illegal downloads, offensive material, or activities that breach cybersecurity).
- The Department Store Studios is not responsible for data loss or service interruptions.
- Printing is provided with memberships (page count capped for different membership options e.g. 30 pages per day).
5. Conduct & Etiquette
- Respect other members’ privacy and working space, and maintain respectful noise levels within the office.
- No harassment, offensive language, or discrimination will be tolerated.
- Phone calls and video calls should be taken in designated areas.
- Break out spaces and phone booths are to be used by members only.
6. Guests & Visitors
- Guests are only permitted with prior approval from members and must be checked in with reception.
- Guests may not use hot desks without prior permission, unless a day pass is purchased.
7. Health & Safety
- Members must follow fire safety and emergency procedures.
- Any accidents, hazards, or damages must be reported immediately.
8. Payments & Fees
- Membership fees must be paid in advance.
- Late payments may result in suspension of access.
- Additional charges may apply for printing, meeting rooms, or other services.
9. Cancellations & Termination
- Members who have signed a contract may cancel their membership with written notice (e.g., 30 days).
- The Department Store Studios reserves the right to terminate membership for breach of terms.
- No refunds are given for unused time unless otherwise agreed.
10. Liability & Insurance
- The Department Store Studios is not responsible for theft, loss, or damage to personal property.
- Members are responsible for their own insurance (e.g., equipment, business liability).
- Members are responsible for any guests visiting the building.
- Members indemnify The Department Store Studios against any claims arising from their business activities.
11. Data Protection & Privacy
- CCTV is in use for security purposes.
- Member data will be handled in accordance with applicable data protection laws.
12. Amendments
- The Department Store Studios reserves the right to amend these terms and conditions with prior notice.
